Situation

Our client had been engaged by a client to assist them in responding to a Notice to Produce from an industry Regulator requiring them to answer requests in respect of their membership registers. Our client identified over 110,000 documents relevant to the scope of the notice, across multiple office locations.

Separately this project also involved a proactive review of the national membership database to ensure it was accurate and consistent across the board and streamline the response to any future Notice issued by the Regulator.

Solution

Our regulatory response team quickly processed the data provided by the end client and set about designing complex search parameters in consultation with our client’s legal team. The aim was to reduce the reviewable document set without compromising the accuracy or integrity of the response. The searches developed reduced the review from 110,000 documents to 17,000 documents. These documents were batched out to the review team members who, using the Relativity review workspace, were able to quickly complete their review. 1,450 of those documents were produced to the Regulator following the legal team’s final review.

The proactive exercise involved the use of our custom applications and development team who collated the data, normalised the anomalies and analysed close to one-million-member records. Reports were able to be generated that showed any issues, errors or duplications that were then able to be tasked back to our client’s end-client for rectification and actioning.

Impact

Our team’s work in processing, interrogating, and analysing the member data allowed our client to:

• Reduce the reviewable document set with limited manual work

• Reduce the overall cost of the review and response exercise on their end-client

• Provide further future value to their end-client in proactively reviewing the full data set for issues and being able to address and rectify any issues or concerns
